Coupa is Mitie’s online system for purchase orders, invoicing, and supplier management. You will need to use this system to work with us going forward.

Two main things are changing: Your contract will move to a new Mitie legal entity. You will move onto Mitie’s supplier systems (Coupa and, where relevant, Alcumus SafeContractor). The changes will be going live between 1 April, 2026 and 1 February, 2027.

Q: What will I receive about Coupa?

You will receive: An email invite to join Coupa (check junk or spam folder). This will be an email from do_not_reply@supplier-coupahost.com with a link to join Coupa and provide your details. A follow-up call to verify your details A confirmation email when you are live, with links to training and FAQs When you receive your Coupa invite, you should: Click “Join and Respond” to create your account Complete your onboarding details Take a verification call from our Vendor Master Data team to confirm your bank details

Q: Do I need to formally accept this change?

No. If we do not hear from you by the date mentioned in our communications, we will assume you have understood and accepted the information.

Q: Who will I be contracting with moving forward?

Between 1 April, 2026 and 1 November, 2026, the following entities will change: 1 April 2026: Marlowe Fire & Security Limited will change to Mitie Security Limited (trading as Mitie Fire & Security).

Q: Why is this change happening?

This is part of our plan to simplify and bring together both businesses following the acquisition of Marlowe plc in August 2025. It will help us work more efficiently and consistently with our supply chain partners.

Q: Will I just receive PO's from Mitie from Coupa?

No - there may be instances where you receive a PO from one of our other purchase to pay systems such as Maximo or SAP. Please carry out the works as requested and continue invoicing according to the correct system.

Q: Can a supplier edit an invoice lines on Coupa So if they selected the wrong line on the PO? Or will they have to credit it off?

This can only be done by the Supplier if the Invoice is not submitted and in draft stage. If the invoice has been submitted, then a credit note would need to be created to correct the issue.

Q: Who do I contact with Portal issues, if I cannot find the answer on the Supplier Website?

Q: The Work Order is not showing on the Application for Payment?

Please ensure you have completed the Work Order with all the relevant documentation and it has passed the 48 hour recall period. Check both AFP types (SUBPO & SUBAFP). If you are still unable to see the WO on the AFP, please refer to contact details for the Mitie Supplier Portal Support Team
